Introduction

An important aspect of operations involves project management, which is a process initiated in a particular operational setting and with the focus on certain objectives. There are a number of activities that are followed in order to ensure the growth and development of any project. These activities meet the project's requirements and aid in its accomplishment of the goals it was initially developed with. It is important to note that there are many factors involved in a project, such as the people working on it and its stakeholders, its activities and their specifics requirements, and the resources attached to all of those factors. The people involved in the project require the development of appropriate information exchange and the thorough detailing of all necessary aspects in order to make the project successful. It is necessary to ensure effective communication because every aspect involved in the project requires it; it is the key factor that contributes to the process's accuracy (). Efficacious communication between project organisations and stakeholders facilitates timely and accurate delivery of project activities, which is necessary for ensuring effective quality. Effective communication assists in ensuring stakeholders receive the necessary information as well as ensuring quality.

Rationale of the study

It is significant that project management is a huge aspect of operations and that it incorporates many dimensions along with the practices in order for it to be more effective and efficient. There is a need to include relevant aspects within the project management process so that the appropriate level of understanding can be gained and then the targeted prospects can be determined so that the project is delivered in a professional way. To carry out the functions of project management successfully, it is imperative to maintain quality and deliver projects in accordance with schedule (Abd Ali et al., 2019). Project management requires effective communication as a major factor for establishing effective information exchange and for creating a deeper level of understanding among project team members. By utilizing different communication channels and strategies, the project managers tend to ensure effective communication. Research into the importance of communication in maintaining quality and timeliness in project activities will contribute to identifying and assessing its importance (Manjunath, 2020).

Background of the study

In order to ensure effectiveness in the project management process the organisations operating in the selected segment follow necessary sets of practices. In the project management process there is inclusion of a higher number of practices and all the practices that are commenced in the project holds interrelationship with the other practices to be commenced or had been commenced previously (Abd Ali et al., 2019). Because of this interrelationship of the related practices in the operations there is requirement of effective transfer of information the project process. In order to ensure effectiveness in the communication process and also uses different channels and tools that assists in ensuring appropriate and efficient flow of information (Manjunath, 2020). Within project management there are number communication channels are developed and also various tools are developed that are used in the project process to ensure effective flow of information and gaining betterment. The effectiveness gained in the project management process using the tools and techniques assists the organisation in gaining growth. This increases the appropriateness in the communication which adds value to the operations by ensuring effective information exchange (Shahatit, 2016).

Problem of the study

Considering the operations prospects it is stated that a number of project management tools used in the project management and these tools are utilised for gaining an effective sets of information. Within the process of project management there is necessity of identifying a number of aspects such as the concerned stakeholders, the information to be shared with them, frequency of communication, mode of communication and type of data to be shared in the process. The project management team tends to develop an effective plan and information in the process assists in increasing the credibility. In order to comply with the developed needs in the project management process effective project communication tools are utilised in the operations (Shahatit, 2016). Concerning this huge focus over the communication prospects and practices followed in the operations of project management it can be identified and stated that the role of communication in the process is highly effective (Abd Ali et al., 2019).

The prioritisation of the communication and adoption of necessary aspects in the project process to ensure effectiveness in terms of information sharing reflects over the importance of the communication in the project management. Considering all the aspects and information developed and followed in the project management process it is anticipated that the communication is the major driver and contributor in ensuring quality as well as timely delivery of project in the operational context. In order to address the identified aspect and address the role and importance of the communication in the project management process this research had been conducted. The research had held focus over the identifying the appropriateness of communication in ensuring the quality assurance and timed delivery within the operational context (Manjunath, 2020).

Aim

The aim of the research is ‘To assess the Importance of Communication in Maintaining Quality and Timely Delivery of Project Activities’.

Objectives

The objectives linked to focused research aim are as follows:

Research methodology

Project management involves a number of practices in the operations and all these practices are coordinated and orchestrated in a certain manner to ensure efficiency and effectiveness. In order to ensure effective fulfilment of the project prospects there is necessity of taking effective actions as well as involving in efficient communication. Communication management is prioritised in the project management and it is consider as the major practice that helps in increasing the effectiveness and efficiency in the project delivery. The appropriateness in the communication within the project management assists in maximising their productivity. This research has been focused over development of appropriate information that can be used for gaining better understanding respective to the developed aims and objectives in the research (Pandey and Pandey, 2021). The research has aimed to development of data that will be helpful in understanding the role of communication in the project practices and ensuring effective quality and its timely delivery.

Research philosophy

In the research the focus of the researcher was to address the role of the communication in ensuring effective quality and timely delivery of the project. In order to address the selected prospect the researcher had selected the primary research type to gain appropriate understanding and maximise the credibility. In order to ensure effective data development in the research and to address the research prospect the researcher had prioritised the pragmatist philosophy (Nayak and Singh, 2021). This philosophy had been selected by the researcher in the research processto use both qualitative and quantitative data types in the research and also allows the researcher to select any data choices suitable. This increases helps in the process by increasing the accessibility of the researcher in the research process and also maximises the credibility by increasing the accessibility to various data types.

The pragmatist philosophy had helped the researcher in the research by allowing them to hold development of information by addressing the real world situations in the process. The focus of the researcher is over gaining a better understanding of the identified from problem and inquire the information for resolving it’s appropriately and ultimately the actual problem resolution (Igwenagu, 2016).

Research approach

Research approaches in the research are focused over major data collection and development perspectives and view pointy that is followed by the researcher in the process. Researches are conducted in the operations with different perspectives and these perspectives are related with the ways data development is followed in the research the researcher tend to assess necessary sets of prospects. Different perspectives that are followed in the research process are focused over data development through assessing and analysing with different operational approach (Pandey and Pandey, 2021). 2 functional approaches that are followed in the research for the development of the data in the research and those are deductive and inductive. Deductive approach concerns with the data development in the process that allows the researcher to address the developed research aim and objectives as a pre-existing knowledge. Whereas in the inductive approach the research aims and objectives are either entirely new and there is no appropriate data availability in the operations or the researcher assess the research aims and objectives as a new aspect of knowledge and the data development is followed with this perspective.

In this research the researcher had followed the deductive approach in the process. With this approach the focus of the researcher had been over gaining effective sets of knowledge and understanding. Using the deductive approach the researcher had focused over data development through the use of suitable tools and techniques. These had provided the researcher with freedom to collect data using preferred tools and techniques and further the developed data had been used to deduce appropriate sets of information. The information developed had been helpful in addressing and identifying the role of communication in maintaining project quality and also ensuring its timely delivery. This had helped in gaining effective level of understanding and assisting the researcher to gain credibility in the process.

Research choice

Research choices in the Saunders research onion is concerned with the data choices that are followed in the research. Majorly there are 3 data choices that are followed in the research for the development of data in the research process and addressing the research prospects that are followed in the research process. These research data choices are mono method, mixed method and multi method and the data types that are considered under these research choices are qualitative and quantitative (Igwenagu, 2016). Qualitative data that is developed in the research is the theoretical information that is had been collected from various literary sources and other primary sources, it is verbally expressible data. Quantitative data in the research is concerned with the development of data type that can be expressed in the numerical or statistical form. Mono method holds use of anyone data types in terms of development of data in the research process. Multi method is concerned with development of both qualitative and quantitative data development in the research but both data types are considered individually in the research process. Mixed method is concerned with the development of both qualitative and quantitative data development in the research and both data types are used in a cumulative manner for assessing the developed prospects in the research process.

In this research the researcher had developed both qualitative and quantitative data in order to assess the developed research objectives. The researcher had prioritised the mixed method as an appropriate data choice that can be used for maximising the level of understanding respective to the role of communication and its importance in ensuring effective delivery of project while including appropriate quality and in an effective time. These data types had been utilised in the research for gaining effective understanding and knowledge over the major aspects that had been focused in the research (Nayak and Singh, 2021).

Research strategy

Research strategies in the research methodology are concerned with the preferred techniques and tools that are focused by the researchers in the research process. The researcher tends to follow different operational strategies and practices that can be used for gaining effective understanding (Opoku et al., 2016). The focus of the researcher is majorly over selection of an effective strategy or strategies that can be used for assessment of the research aims and objectives. In this research the researcher had prioritised the use of both primary and secondary data in the process as well as the focus had been stress over the generation of effective datasets that can be utilised for ensuring credibility in the research process (Igwenagu, 2016). As this research concerns with the development of both primary and secondary data and the data type that was being developed in the research was both qualitative and quantitative in the research process.

In order to fulfil the preferred data types in the research for qualitative data development the researcher had prioritised the literature review technique in the research process. Literature review had been prioritised by the researcher in the research process for the development of data by relying on the secondary sources. In order to commence it in the research process the researcher had focused over data development through identifying and assessing existing secondary sources of data that are related to developed research aims and objectives (Bairagi and Munot, 2019). In this research the researcher had referred to various literary sources such as research papers, articles, blogs and other academically appropriate and reliable sources. Using these prospects in the research had helped in development of base information and this can be used as the statutory argument in the research process. These data sets are further utilised in the research process for further assessment and information development (Mishra and Alok, 2017).

The research had also selected quantitative data type and in order to develop quantitative data in the research the researcher had selected the structured questionnaire survey in the process. This is followed in the research to develop effective primary data that can be utilised for further development of information. The survey in this research had been conducted between 50 professionals that operates in the project management programs and also holds appropriate understanding and experience in project management practices. This had assisted the generation of primary quantitative data (Mukherjee, 2019).

Time horizon

Research time horizon is concerned in the time constraints that is followed or are related to the data development in the process. The research time horizon is identified in the research process based on the data collection that has been commenced in the research process. majorly research are commenced in different situations that tends to address the existing aspects and knowledges and some are focused over development of data relating to the changes and functional alterations that occur because of a certain situations and focused aspect (Zangirolami-Raimundo et al., 2018). Different time horizon is focused in the research with different research strategies and process that are utilised in order to address the developed research aim and objectives (Nayak and Singh, 2021). There are two types’ time horizons that are followed in the research for the development of data in the process cross sectional and longitudinal. Cross sectional time horizon is prioritised in the research which focuses on development of information only once throughout the research commencement. This does not study the change only holds assessment of the selected prospects in the research operations. Longitudinal time horizon is concerned in the operations while focusing on data development multiple times in a research. The longitudinal studies holds data collection more than once in the research and this prioritises study of change concerning selected phenomenon (Opoku et al., 2016).

In this research the researcher had selected the cross sectional time horizon in the process that can be utilised for the development of data. Following the cross sectional time horizon the researcher had commenced data development in the research process only once in the research process. Using the selected time horizon the data developed in the research had been helpful in developing appropriate level of understanding of the importance of communication in maintaining quality and timely delivery of project activities (Zangirolami-Raimundo et al., 2018).

Data collection

In this research the researcher had focused over gaining an appropriate set of information that can be utilised for gaining effective level of understanding and growth. The researcher had selected 2 methods of data collection first is literature review that had followed development of data through the use of various literary sources such as research papers, articles, blogs and other academically appropriate and reliable sources (Mishra and Alok, 2017). Using these prospects in the research had helped in development of base information and this can be used as formulating argument that helps in development of the research data for further assessment. Secondly the researcher had selected the structured questionnaire survey that had helped in development of primary quantitative data which was focused on understanding the role and importance of the communication in maintain quality in the project and ensuring its timed delivery (Bairagi and Munot, 2019).

Data analysis

The data developed in the research was of both qualitative and quantitative type, the developed data had been effective in terms of assessment of the developed research objectives. Considering the secondary qualitative data developed in the research the researcher had followed the literary analysis to address and assess the data developed. The researcher had followed effective consideration and referred to appropriate literary sources that had been used were related the project management aspects and also reflecting information relating the role and importance of communication (Mishra and Alok, 2017). Further researcher had commenced a structured survey in the research and followed development of quantitative secondary data. The quantitative data developed in the research was analysed in using the statistical analysis in the research process. Use of statistical analysis or frequency analysis had helped the researcher in development of appropriate sets of data that can be utilised for gaining effective level of understanding and also maximising the credibility. The researcher was able to represent the developed data in various graphical and tabular forms to make the data effectively accessible and understandable (Mukherjee, 2019).





Literature review

STREAM 1: COMMUNICATION CHANNELS USED IN PROJECT MANAGEMENT

Within project management there are number communication channels are developed and also various tools are developed that are used in the project process to ensure effective flow of information and gaining betterment. The effectiveness gained in the project management process using the tools and techniques assists the organisation in gaining growth. This increases the appropriateness in the communication which adds value to the operations by ensuring effective information exchange.

The extant studies, such as a study carried out by Zulch (2014) is evident that communication is one vital activity since the world revolves around it, it is truly defined as “who says what to whom in what channel with what effect”. In the context of a project, communication is all about exchanging information from one to another aspect effectively and efficiently. Thus, it goes without saying that communication act as ‘The Life Blood’ of the project in project management as the success of any project depends on how efficiently the communication network works. It is further important to note that communication is on-going in a project as it starts from the day one and goes along every stage and so continues for entire project life span. Although, communication is important in a project, it cannot be denied that the project managers often face failures and breakdowns in their communication efforts as most of their time is spent communicating what should be carried out to make project a success, rather in implementing necessary tasks which in turn could lead to schedule delays or cost overruns (San Cristóbal et al., 2018). Adding to this, the project managers often encounter obstacles in communicating messages to the stakeholders and this is due to the adoption of ineffective communication channels, thus one thing that needs to be assured by them is to put in a smooth cycle of communication using one best-fit approach.

A study by San Cristóbal et al (2018) revealed that there are several communication styles that could affect the projects up to a great extent, these styles may lead out of different perspectives, such as the internal & external project perspective, the organisational perspective showing the ways in which a firm might be structured, the formality perspective classified into formal & informal communications and most importantly the channel perspective referring to the medium by which a message is transmitted or delivered. Some of the common channels of communication are inclusive of verbal & non-verbal communication, oral & written communication, in-person & virtual communication and so forth. For project manager, it is important to know potentials & setbacks of these channels to be able to leverage them accordingly (Panagiotidis et al., 2020).



For instance: a study carried out by Ziek and Anderson (2015) outlined that in-person communication let the parties observe demeanor and body language which could throw a significant level of impact on the message being sent, however it is not always the case due to the preference over remote working in corporate environments. Similar to this, written communication enables a writer to shape a message precisely in an attempt to communicate clearly, however this channel could lack certain subtitles which are obvious in verbal communication, one example can be sarcasm. Considering all these aspects, the role of project manager is to understand which channel could match the unique needs of the firm.

This theory is based on the fact that while doing any task, each individual can communicate with any another individual, this means a smooth cycle of communication can be maintained thoroughly in the project (Panagiotidis et al., 2020).

The above figure is demonstrating the concept of communication paths in a project graphically illustrating among stakeholders & team members. Practically, this theory can be applied for project management, particularly in terms of indicating the complexity in the project for communicating tasks. Although, the applications of this theory are beneficial in delivering project quality, some project managers still do not prefer to use this indicator at all. Despite this, in many mega or large projects, this can act as the indicator of the intensity & extent of the required project communication management (Panagiotidis et al., 2020). For example: the distribution of resources to the project communication roles is proportional to the ratio of the potential communication channels. Such considerations are chiefly important for the projects that are subjected to false & confusing information exchange and for the teams as well that are working over confidential matters. However, it cannot be denied that it may also limit the decisions in relation to the communication styles and the technology used. In a nutshell, it can be said that for project managers, being aware of ‘The Number of Potential Communication Channels ‘could help them plan, handle & monitor the project communications.



STREAM 2: FACTORS AFFECTING QUALITY & TIMELY DELIVERY OF PROJECT

Project management is composed of a number of practices in the operations and this includes execution of various practices and for ensuring effectiveness in their execution. This also follows the inclusion of other major prospects that holds impact over the project management. There are number of aspects in the project that are needed to be fulfilled in the process to ensure effectiveness in the project process. As discussed before that within a project there is inclusion of an effective number of practices and process in its execution and for ensuring efficiency in terms of its execution and management different type of resources are required (Adenuga, 2013).

In any project there is a huge requirement of various resources such as operational resources, financial resources and human resources. All these resources hold their effective role in the operations and are required to be managed in the process in order to fulfil the needs and necessities in the project management. The inclusion of all these resources helps the project management team in ensuring effectiveness in terms of execution of the project and also assists in ensuring fulfilment of project objectives that contributes to the key deliverables in the project process. In the project management process these three types of resources operational resources, financial resources and human resources are very important. These resources have their effective role which also builds their importance in the project process (Faremi et al., 2016).

Within the project management process an effective consideration is paid to resources. The project management team tends to follow planning and scheduling in the operations, so that they can ensure effectiveness in terms of fulfilment of developed objectives in the project management process. The project manager and the management team are required to ensure effectiveness in terms of plan development and also follow scheduling of practices and prospects in the operations (Adenuga, 2013). The development of effective plan assists in determining the needs and necessities that are to be fulfilled in the project management process throughout different stages and operational processes. This information developed in the project management process helps them in gaining appropriateness in the operations and also maximises their productivity and effectiveness. All these aspects are gained in the operations of project management following the plan developed (Larsen et al., 2016).

The developed plan is used by the project management team as a point of reference; the stated practices in the plan are further scheduled in the process based on their order. The project manager and the project management teams hold the responsibility to identify and determine the needs and necessities such as operational resources, financial resources and human resources at different stages. They are required to assess these needs and necessities in an effective manner and also they are required to follow other important practices that can be used to ensure productivity. Scheduling is concerned with developing a list or piece of information that includes all information related to the activities needed to be followed in the research process (Faremi et al., 2016). This also holds discussion over key deliverables that are prioritised in the project and further milestones that can be used for identifying and addressing the attainment of developed objectives.

Planning and scheduling are majorly simultaneous processes and these processes can be commenced in the operations cumulatively. These practices are concerned with planning of the initiation and end date of any project in the operations. These are used to determine the time duration required for the completion of concerned practice and also finalisation of resources that are used in the different stages of the project management process. Planning and scheduling are among the most appropriate prospects that are followed in the project management process and the information developed under these processes is highly helpful in the operations to ensure effectiveness and growth (Larsen et al., 2016).

In these phases all the necessary aspects related to the project are needed to be discussed and determined in the operations. The availability of all the necessary prospects and resources in the project management process helps the project manager and project management team in ensuring productivity and effectiveness (Doloi et al., 2012).

The information developed in the initial phase of the project holds major role in the operations of project management. There is necessity of ensuring the inheritance and existence of the developed information through the operational environment of project. The existence of the information assists them in gaining effective growth as well as maximises their credibility by helping in ensuring availability of all the necessary aspects such as operational resources, financial resources and human resources in the functional stages of the project management (Doloi et al., 2012). These are the major aspects that are needed to ensure effective quality in the project as well as assists in its timely completion and delivery.

Within the project lacking in any phase of the operations affects the credibility and effectiveness in the project management process and minimises the effective completion of the developed prospects in the operational setting. There are number of aspects that are needed to be followed in the operations such that the quality and effectiveness can be maximised in the operational context. The lack in information respective to the project scope, developed deliverables, required resources, and other necessary aspects holds major impact over the process of project management. The ineffectiveness in the operations of the project management is developed because of many other prospects. The project management faces various issues in the operations because of lack in information propagation and sharing in the process (Durdyev et al., 2017).

STREAM 3: ROLE OF COMMUNICATION IN MAINTAINING QUALITY & TIMELY DELIVERY OF PROJECT

When it comes to cope up with all the intricate dependencies, details, approvals and decisions a project is inclusive of, it becomes quite challenging for the project manager to sort the things out without ensuring proper communication among the teams. Shaw(2022) implied that it is surprising to believe that out of every three projects, one always suffers due to failure in passing or receiving adequate information, particularly companies seem to invest risk valuing at $135 million for every $billion of expenditure on a project and particularly 56% of that $135 million ($75 million) is due to ineffective communication. For example: a sales team is not aware of the activities handled by the marketing team, such as the promotion campaigns conducted by them due to which the team will be unable to serve the promised deals to the clients which in turn results in internal conflicts among teams and frustration among customers caused by poor deliveries to them.

A study conducted by Bond-Barnard et al (2018) highlighted a few suggestions for the project managers to ensure effective project communication, for example: using advanced technology, keeping language & cultural barriers in mind and understanding who should receive what information. It is stated that even if the project team is working remotely, it is not important that all the messages need to be written, instead there is so much more value in one-to-one meetings and leveraging technology in a way to strengthen these one-to-one interactions can undoubtedly go far in affecting the project progress. Two exceptional tools which could help in this context are video conferencing & virtual meetings.

Bond-Barnard et al (2018) in line with the above discussion stated that firms are increasingly becoming diverse, uplifting the chances that any member of the entire project team might not know English & does not act as a native English speaker; this would further increase the probability of risk occurrence and confusion during project communication. Henceforth, it is of high importance to recognize any language or cultural barriers that might affect the project to a significant level while avoiding the use of colloquialisms, sarcasm and jokes which are quite challenging for translating across cultures & languages.

In any project, a central role of a project manager is to perform as a gatekeeper to information, however it does not only mean to provide pertinent data to the team members, but it also means to shield them from non-essential data which might disrupt their working with a lot of confusion. Simply put, a project manager must know how to assess who gets what information (Panagiotidis et al., 2020). Similarly, it is up to the project manager to identify the best form and channel of communication based on the nature of audience he is speaking to. Also, a project manager must not deny tailoring his approaches of communication to the individual stakeholders or team members, especially if it would help the project staying on the track (Bond-Barnard et al., 2018). For instance: if a project manager knows that a few stakeholders want to analyze the numbers, he/she would produce a granular report for them showing them the details they are seeking for, however if stakeholders only seek high-level digits & key takeaways, a project manager would then choose leveraging charts & graphs for illustrating those points.

As stated by Lauren and Schreiber (2018), timely communication is referred to that process of communication that takes place sufficiently promptly and early. For communication to be timely, it has to be occurred at an opportune time. In the context of project management, the project managers must ensure timely communication to make the most of every possible opportunity and eventually delivering the project timely as well.Lauren and Schreiber (2018) further stated that proper communication throughout the project lifecycle afford project managers the needed time for planning & analysing the data& thus can help the firms in making the most of available opportunities through informed decision-making.

Lauren and Schreiber (2018) adding to the above arguments stated that seamless & successful projects entail smooth and effective communication among the project manager, leader and other functional units while acting as the key to their bottom line. Lauren and Schreiber (2018) in a response to this suggested a few measures for the project managers to ensure better communication, one way is to form the team according to their level of expertise and skills so that they can ensure exchanging concise and clear information between them, also by knowing what is on the minds of the teams, a project manager can ensure better communication.
