Executive Summary

In this study, there has been a reflection of the reasons on why the Melbourne Convention and Exhibition Centre will be a good spot for holding the event of Australian Food for Future Convention and Exposition. The purposes of the event and the factors which have to be taken into consideration during the same have been defined well. The reasons for the selection of this specific venue have been justified with the application of theoretical perspectives. This place has been selected, as this is able to make sure that the organisation is able to have a good control over the ways in which the public perceive them and whether or not they can achieve their purpose.





Introduction

In this study, the venue being selected for hosting an event of the AustralianFood for Future Convention and Exposition will be justified. The reason why thevenue is being selected will be explained in detail. The factors which have to be taken into consideration during the course of the selection of the venue have been discussed and there will be a chalking out procedure for the venue selection step-by-step. The venue which has been chosen is the Melbourne Convention and Exhibition Centre and is a spot which is known for being able to host a wide range of well- known events (MCEC, 2024). This report is being developed from the perspective of an event manager.



  1. Purpose of the Venue Selection

The purpose of selecting the Melbourne Convention and Exhibition Centre is to host an event of the company. This venue has been selected as this is a popular venue and has the reputation of being considered one of the most well-known places.



  1. Factors to be Considered During Venue Selection

Some of the factors that can be taken into consideration during the selection of the venue include things like the location, the capacity, the parking, the budget, the facilities, acoustics and the ambience (Allen et al., 2022). The location has been narrated to be a highly important consideration as this needs to be accessible, and needs to be in a stop which would be convenient for everyone. The capacity of the hall can be allocated to be also essential, as this is able to determine how many people can be fit into the convention. The budget of the company needs to be able to support the needs of the event and hence, a spot needs to be selected to be able to make sure that the event is of high quality and not outside of the budget. There has to be enough parking in the event place for them to be able to hold the all the guests and make sure that they do not have any issues with traffic congestion (Nawangsari & Sutawijaya, 2020). The facilities available at the venue and the ambiance of the place are capable of determining whether the event will be enjoyed by the guests. Finally, the acoustics of the place have to be determined, as this will show whether the company will be able to host an event which will be available to the audience (Salama, 2021).



  1. Step-by-step Procedure for the Choosing the Melbourne Convention and Exhibition Centre

The first step being taken is that of the selection of the target audience and estimating the size of the same. After this, the next consideration will have to be the budget of the company, which will determine whether they can afford the venue or not. This will show whether the location of the site can be fixed. It must be noted that the company has to make sure that they uphold the standards of a good event and do not cut out the costs of the same (Filimonau et al., 2020). The layout of the event will have to be managed well and this will show all the ways in which the company will have to section out their spending. The place will have to be provided with security and staffing appropriately and there should be no mishaps during the same. The accommodation of the organisation will have to be taken into consideration as well and this will be a reflection of the things and have to be taken into consideration during the same. Aside from these, factors like capacity and acoustics also have to be taken into consideration.   1. Justification for the Melbourne Convention and Exhibition Centre

The Melbourne Convention and Exhibition Centre was established in the year 1996 and is one of the largest conventions of the country (Whatson.Melbourne.Vic, 2024). According to Whatson.Melbourne.Vic (2024), there are 63 rooms for meeting among other facilities. The event centre is located in South Wharf, and is open from 8am-8pm for all the 7 days of the week. The place has good parking space and this is can accommodate people well and the acoustics within the centre is quite good and this means that the organisation will be able to host an event successfully. This is an indication of the fact that the organisation will have to carefully select the methods of operation and this will reflect all the ways in which the organisation can gain the attention of the audience. The aim of the event is to gain the attention of the audience for the causes of the company. The event systems theory claims that events can have a lasting effect on the organisation (Kiefer et al., 2024). Based on this theory, this event will have a lasting impact on the company and will ensure that they can gain the attention of the audience.

According to Future Brand (2024), the event centre is known for being authentic and having the emotion and courage which would be able to bring together the audience well. This is one of the reasons the place is being selected. The ambience, culture and the sheer popularity of the convention centre will be allocated in the process to serve the purpose of the event and prove to be helpful in gaining the attention of the people. The venue can be stated to accommodate many people and they have a lot of parking space, which would make it easier for the people to be able to make sure that they can focus on the event. These are some of the reasons the process for which this venue is being chosen and why this is the best option for hosting the event.



Conclusion

In this study, the considerations of setting up an event have been allocated to be assessed and this has been followed with a reflection of the factors and has to be taken into consideration. The purpose of the study has been chalked out and this will have to reflect all the considerations which the organisation will to make. All the factors which have to account during the course of deciding on event has been taken into not. The reason for the selection of the venue has been justified and this has shown whether or not the Melbourne Convention and Exhibition Centre will be able to help the company achieve their goals.
