Purpose of this Assessment task

The purpose of this assessment is to test your knowledge in implementing program governance as required by the unit BSBPMG622 Implement program governance. Your trainer/assessor will be assessing your work and provide you with constructive feedback on Canvas. This task will assess your knowledge to:

  • Facilitate effective decision making and accountability

  • Implement systems and methods

  • Ensure program compliance

  • Enable program support services.


By successfully completing this assessment you will demonstrate that you have comprehensive knowledge and understanding required to implement program governance.


Structure of this assessment
There are 4 questions in this assessment. They are different in their designs and requirements. Some can be answered in dotted points, some need short answers, while others may require a little bit of description. Your responses or answers to the questions must be precise and clear. This means you must understand the questions correctly before you attempt to answer them. You must answer all questions by yourself unassisted by another person. But you may refer to the needed reference material if you need to. Your trainer/assessor will set a date and time to submit your response to this assessment and you must submit by that date and time.


Resource to undertake this assessment

Before undertaking this assessment, you should have studied relevant learning resources and workplace documents provided on Canvas and by your trainer/assessor. You should have a good understanding of the applicable legislations such as relating to privacy and confidentiality, antidiscrimination etc. You will also require pen and paper and access to computer with internet to do this assessment.


What specific WHS requirements may be involved?

This assessment will require you to be aware of the standard Workplace Health and Safety requirements e.g. Workplace Health and Safety Act and Workplace Health and Safety Legislation Your trainer/assessor will advise you on these and other legislative requirements.

How to do this assessment?

1. Read the given questions couple of times to fully understand what is expected from you.

2. Answer all parts of the question completely and correctly

3. Write your answers eligibly in blue or black pen or word process your answers

4. Use the provided template to answer.

5. Once you complete your answers carefully read them and check for their completeness and accuracy

6. Keep a copy of your completed work to make-up for any unforeseen loss or damage

7. If you use additional paper to answer put your name and student ID in it.

8. Note that this assessment requires you to undertake some web research. Your trainer/assessor will provide you a list of relevant websites and digital materials you must read through.


Getting Started

The assessment may be re-attempted on two further occasions (maximum three attempts in total). All assessments must be resubmitted 3 days within receiving your unsatisfactory grade. You must clearly indicate “Re-submission” on your resubmitted work.


All questions must be answered satisfactorily for the assessment to be completed satisfactorily.

For any assessment conducted that is incomplete, or without satisfactory performance, the assessment will need to be completed again after further training support. This may be simply to focus on question areas not achieved in the prior assessment.

Question 1

Program control methods and techniques are essential to the success of a program.

Address the following:

  • Their purpose.

  • Mention 3 program control techniques and methods and provide a practical example of their application.

Purpose: It is important for an organisation to undertake a particular program control method such that the management of every constraint is properly aligned. The significance behind considering this methodological implication lies in the fact that it instantiates the program manager to gain a perception of the various parameters upon which the success depends (Li et al. 2019). With the help of a particular program control technique, it is expected that the assessor would be able to distinguish the influence factors that determine the scope of the program in terms of its executable platform.

Program control methods and techniques

Example of application in the program

The earned value analysis technique

Earned value analysis has been considered as an effective program control technique that focusses on the management of financial considerations linked with the program (Bryde, Unterhitzenberger & Joby, 2018). Using this method, a program manager would be able to quantify the processes that are induced within the activities of the program. For instance, the use of CPI and SPI allows estimation of the budgetary constraints that the investors would require to contribute to the conduction of a program specifically.

The critical path analysis technique

The critical path analysis allows the program manager to establish a visual representation of the activities that would be conducted during the execution of the program in a systematic way (Olivieri et al.¸2019). This is because the critical path separates tasks on the basis of their complexities based on cost and time constraints. With the help of this distinctiveness, the program manager would be able to undertake the responsibility of executing these tasks with proper verification of outcomes to meet program objectives.

Daily meetings

Conducting daily meetings would allow the program manager to estimate the success in terms of a retrospective manner. In other words, the meetings would be conducted to specify the requirements that the program would require to achieve its conclusive state successfully. In each meeting sessions, the project stakeholders would be involved such that proper alignment if the goals and objectives have pertained with logical justification.

  • Provide an example of a compliance requirements for the program and outline how you would rectify a non-conformance with that requirement (Min. 30 words).



3 functions of audit and/or compliance requirements for a program:

Executing a program requires consideration of the various compliances that allows the manager to attain legal attributions towards sustainable management and practices. Aligning this concept, the has been identified three major compliance requirements that a program assessor needs to acknowledge prior to its execution.

  • Compliance Auditing and Self-Assessment: Conduction of an audit requires an organisation to align their compliances with essential information about the responsibilities of each staff member and their contribution to the company. For this purpose, the has been identified as a major requirement for documenting a tracking report that instantiates every activity in terms of cost and time (DeSimone, 2017). For instance, a successful audit would require conduction of interviews withy staffs who possess relevancy regarding the decisions made by the organisation as well as to have knowledge about the has san inconsistencies within their operational segments.

  • Compliance monitoring: For keeping a track of activities, it is important for the program manager to prevent any kind of legal obligations to incur over their busies operations. This is because having forth any legal restrictions; the company might face issues in retaining their position in the market (Meroni et al. 2018). In this context, the management of an audit program would require the managers to notify about the various changes that are being assessed during the audit process. These changes would further be assessed to keep them aligned with the compliances followed by the organisation in relevant parts for action commencement.

  • Program for Handling & Reporting Compliance Problems: With the help of a supportive and proactive compliance culture, organisations are expected to gain confidence in taking a step forward towards development. Additionally, the occurrence of breaches within organisations is common disruptions that create an imbalance to the overall operational segments. Banded on this perception, the staffs are aware of the legal obligations that might be poised upon them for creating any inconsistencies. The conduction of an audit program in this context helps to report the activities and their justified significances in favour of the business to keep good faith over the employees.

Example of compliance requirement:

Considering a compliance program where administrative responsibilities would be assessed; it could be attained that practices executed within an organization would be abbreviated through this auditing procedure.

A policy designed: The administrator of the practice has been assigned with the responsibility to support the compliance program having coordination with the compliance officer, committee and the various activities that would be conducted in the PRACTICE.

Requirements:

  • The administrator would be required to underpin standards of a compliance program

  • The job description of the employees needs to be properly established for the successful auditing process.

  • Register the staffs as a member of the compliance committee

  • Identification of the delegate responsibilities that are executed by personnel to maintain compliance consistency (Sisto, Lopolito & Van Vliet, 2019).

  • Participation in periodic training such that policies and procedures would be updated accordingly meeting organisational legalisations

Question 3

Outline how decision-making processes are used in program context. (Min. 30 words)

Undertaking a strategic decision requires an administrator to look after the various constraints upon which the decision would be based. For this purpose, there has been identified a set of systematic steps executed sequentially to achieve effective solutions rearing the decisions made. In context to program management, the assessor would be required to make a decision by considering the aspect of the program including cost, time and legalised constraints.

  • Initially, the assessor would be required to identify a decision based on which the program would be executed.

  • Having identified the decision, there needs to be a provision where the decisions would be reviews for relevancy. However, for this purpose, there needs to be a requirement gathering phase where data would be collected in favour of the situation for effective decision making (MAJEROVA, NADANYIOVA & GAJANOVA. 2018).

  • In every case, it might not be possible that only a single decision would provide effective results. In that case, the application of more than a single decision is attained by the organisational executives for better results and expectations. On this basis, the assessor would be required to identify the alternatives upon which the major decision would be aligned.

  • Finally, the assessor would be applying the decision based on action would be undertaken. This would help to deduce the goals that were pre-established at the initiation of a program.

Question 4

List minimum 5 skill development support initiatives within a program.

Performing tasks that are addressed towards the responsibility of a program manager requires the adoption of several skills that enables undertaking decisions that are attained for the process. In this context, the following skills have been identified that and individual is required to possess in order to perform tasks as a program manager of an organisation.

  • Communication skills: the program manager needs to possess effective communication skills such that interactions between the team and the individual would be clear and understanding.

  • Conflict resolution skills: Conduction of program require engagement of several staffs that an organisation comprises of. In this scenario, there exists a chance where conflicts between individuals might occur. Henceforth, it becomes the responsibility of the program are required to provide a solution to the issue and thereafter mitigate the conflict effectively.

  • Leadership skills: The program manager needs to possess strong leadership skills such that the derivation of program aims and objectives are carried out with relevancy.

  • Decision-making skills: without appropriate decision making, it becomes difficult to align a program and its respective activities with the goals that tend to be achieved through it.

  • Time management skills: without possessing effective time management skills, the program manager might fail to deliver the outcomes inappropriate time estimated at the initiation. In this way, the delay could be encountered leading to the loss of value to the project.
