Project Description
The main aim of this project is the development of an Amazon drop box site at the UWTSD campus in Birmingham and London. These facilities help the students with a centralized location for document collaboration and storage, improving their academic experience. By effectively integrating Dropbox technology, the students will be able to share files, access important resources, and effectively collaborate on group projects. This initiative helps align with Amazon's commitment to providing support for the education environment and fostering the engagement of community between students. The proposed Dropbox site not only serves as a physical storage but also serves as a hub for collaboration and innovation and contributes to thriving the community of students.
Project Scope
The project scope management techniques enable the supervisor and project manager to effectively allocating the right quantity of work needed for successful project completion (Gobov and Huchenko, 2021). This project involves the site evaluation and selection on the campuses, layout designing and functionalities of Dropbox facilities, effective implementation of necessary infrastructure and technology, and development of marketing materials for promoting Dropbox sites to students, by training the staff to assist students in effective utilization of Dropbox system in an effective way. This exclusion involves any types of maintenance beyond the initial phase of setup and any features that are not directly associated with student document sharing.
WBS (Work Breakdown Structure)
The WBS represents a hierarchical division of work that is deliverable-oriented to be done through the project executor in the process of achieving the goals of the project and needs achievement. The achievement in question is a unique result, output, and capabilities to display the service that has to be reached to complete a process, or project (Su, 2022). The WBS is narrowly used as a reference to external achievements, which are subjected to customer or sponsor approval of projects. The WBS dictionary is WBS level, codes, work description package, and job responsibilities (Jati and Latief, 2020). Every WBS-level derivative represents an increasingly detailed definition of the project.

The Gantt chart serves as an important tool for the project manager to effectively communicate regarding scheduling, recognize potential delays, and focus on team efforts on the critical tasks for the timely delivery of projects. The Gantt chart structure is fundamental for effectively understanding and utilizing project management tools in an effective way (Wadhwa, 2024). It is a visual representation where tasks are effectively interconnected with each other until the project is complete. It helps in visualizing the project schedule, other task dependencies, and timeliness. When these are combined effectively, the project manager initiates their project through organizing, planning, executing, and monitoring the project in effective ways.

2. Project Location Analysis
Research Existing Dropbox Sites
To identification of a suitable location for the Amazon Dropbox sites at the UWTSD, we examine the existing Dropbox facilities at the various educational institutions. The successful sites are effectively placed in high-traffic places such as student unions, libraries, hostels, or nearby popular cafes. The key aspect that contributes to their effectiveness involves the

Effective Dropbox facilities are not just about technology, but also about the people who support it. The facilities are equipped with user-friendly technology and staff support, ensuring smooth operations and maximizing student interaction and resource sharing.
Proposed Locations on Campus
London Campus:
The location on the campus is near to the student union and the main library. This place experiences heavy foot traffic from studying, students attending classes, or contributing to activities (refer to Appendix 1). Its closeness to necessary academic resources promotes easy access and visibility for the Dropbox site. Additionally, it serves as a social hub where students collect, increasing the likelihood of interaction with the facility.
Birmingham Campus:
This campus is adjacent to the common area of the main café. The college café is a popular collecting spot for the students and ensures high engagement and visibility (refer to Appendix 2). This location permits spontaneous collaboration as students often work together in casual settings. After that, the available space will accommodate the required equipment while providing a comfortable environment for the students.
Location Justification
Both planned locations were selected based on their prospect to attract high student traffic and allow easy access for all the users. This strategic position aims to visibility, exploit, and usability; ensuring that the Dropbox sites meet their proposed point efficiently. Proximity to familiar areas encourages frequent use, while skin texture will provide convenience to all students, creating inclusive surroundings for teamwork.
3. Summary of Feedback and Improvements
The feedback of the project is a conversation about the performance of team members that should outcomes in a clear next step towards their development (Asana, 2024). The project manager mainly gives this type of feedback to their team. In this project, the feedback is given by their tutor. By focusing on the project details rather than broad-scale career-level feedback, trust can be developed among the project team. The project feedback can be instrumental in improving the deliverables and fast-tracking the team's professional growth.

Introduction
The main purpose of this report is to provide the importance of project management plans and their application based on the Amazon Dropbox site on campus. The effective development of the Dropbox sites at UWTSD campuses in Birmingham and London represents a planned initiative to develop student engagement and facilitate teamwork. With the help of Amazon Dropbox, this project helps the students by providing easy access to important tools and resources for academic success. The effective implementation of project management approaches helps meet the student community's requirements. This plan outlines the project scope, objectives, and execution strategy and ensures that effective alignment with the university's mission promotes a supportive and engaging educational environment.
Project Description
Amazon unveils its latest offering, lockers, to provide customers with convenience and choice in a place they can effectively visit. The Amazon Dropbox has become a dynamic urban landmark. From small towns to big cities, Amazon plays a vital role in the development of a positive impact for consumers and how it can effectively engage with the local communities (Amazon, 2023). For development things more convenient for college students, Amazon Dropbox needs to be installed in the popular areas of London and Birmingham campuses. Effectively implementing Amazon Dropbox facilities helps in receiving a more convenient package than ever before, with customers able to simply pick up their items while on the go. The proposed Amazon Dropbox sites at the campus will serve as dedicated places where students can effectively share, store, and work together on academic materials. Each Amazon Dropbox site will feature:
User-friendly Technology: Easily access the online resources and Dropbox software, enabling seamless document collaboration and sharing.
Support Facilities: Trained staff is available to assist the student in effectively utilizing the Dropbox system and must ensure effective resource utilization.
Collaborative Spaces: The space designed for group work is effectively equipped with seating and power outlets to facilitate the interaction of students and teamwork. The effective integration of these features aims to develop a supportive atmosphere that helps encourage student participation and improve the entire learning experience.
Project Scope
The project scope signifies what is required in the project, and scope management is the management of what is required. The project scope involves all work in sufficient detail to facilitate the execution of the project, which is considered complicated owing to the magnitude and diversity of the required information (Hassan and Asghar, 2021). The project scope needs two types of info: project-related and product-related information. It involves the do’s and don’ts of the project. In the other aspect, it is the prospect of the project for all stakeholders. The definition of the project scope has long been discussed for its relevance to its success. The success and failure of a project mainly depend on the project scope. To ensure the smooth execution of the project, a well-defined scope of the project is considered. It helps in the successful allocation of resources, better estimation, and helps in providing a clear road map of the project.
The Amazon Dropbox site project will include the following elements:
Site Selection: The site selection indicates the practice of the new facility location for business. It involves the measurement of the requirement of the new project against the new merit of potential locations. The site selection includes the selection of the most appropriate location for the project to maximize its success chance and contribute positively to the local economy. Identify and evaluate the possible locations on London and Birmingham campuses that meet traffic and accessibility criteria.
Design and Layout: For the Amazon Dropbox site, the campus needs to develop designs that effectively incorporate feedback from students and standards of accessibility and needs to ensure a welcoming atmosphere.
Implementation: In the project implementation, the installation of the Dropbox sites must involve the technology installation and ensure connectivity.
Marketing: This marketing part needs to develop promotional materials and strategies to notify the student about new facilities on campus and their benefits.
Training: Staff training sessions must be conducted to provide them with information or knowledge about tools required to assist students effectively. This project will not cover maintenance after preliminary setup or any other features not related to document collaboration and sharing.
WBS (Work Breakdown Structure)
The WBS is an important tool for managing and defining the scope which leads to scheduling and planning, so it is crucial for practical application of techniques. It helps provide a basis for work identification as it associates with project objectives and develops a framework for work management to its completion (Amin et al., 2020). The WBS structure plays a main role in program and project management in each process group, ensuring a consistent definition of the work scope.

The Quad chart is a visual tool used in project management and strategic planning. They help in condensing complex information into an easily understandable format and facilitate the communication and decision-making between stakeholders. It is divided a page into four quadrants and each quadrants focus on a different aspect of strategy, project, or concept. This structured format ensures that critical information is presented concisely and clearly. By effectively organizing the info into distinct quadrants, the quad chart facilitates clear communication between stakeholders and team members (Kanbanboard, 2024). In this section addressing a specific project aspect, decreases the misunderstanding and makes sure that everyone is on the same page. The structured format of the quad chart aids in effective decision-making. By presenting a balanced view of project details, summary, timeline, and benefits, stakeholders can develop more informed decisions based on vast project understanding.

Gantt chart
The Gantt chart is a visual presentation of project WBS where every work package is vertically inserted. Every task is set with the required resources, estimated duration, and dependencies assigned among the tasks. The Gantt chart involves the important dates inserted as zero-day duration to provide the presentation of milestones, and tasks or milestones can have deadlines. It is a project management tool that assists in scheduling and planning projects of all sizes, mainly used to visualize projects (Vasankari, 2024). It is described as a graphical representation of activity against the time and helps the project professional to progress monitoring. It is an essential tool for scheduling tasks, project management tasks, and timeliness converted into horizontal bars to develop a bar chart. This chart represents the start and end dates as well as dependencies, deadlines, and scheduling, involving how much task is completed and who is owner of the task is. Every project task can be followed by updating the actual task completion where the taskbar is proportionally filled based on the real completion of work.

In the Project, three levels of stakeholders have been identified: individual (project team member and manager), global society (local or global communities), and organizational (project sponsors and shareholders). It is an important aspect to recognize all stakeholders’ needs. Stakeholder involvement is an important part of the Dropbox site project. In this Project, stakeholders involve the faculty, students, campus administration, maintenance staff, and IT support of both campuses.

Students: This is the main user Dropbox site, and their feedback will help shape the project implementation and design layout.
Faculty: They provide insight into students' behavior and help promote the service.
Campus Administration: It plays an important role in project completion because their approval is important for site selection and completion of the Project.
IT Support: It is accountable for technical implementation involving the maintenance, setup, and combination of presented systems.
Maintenance Staff: They will help manage the physical maintenance of Dropbox sites.
Engagement Strategies for Stakeholders
Surveys and Focus Groups: Conduct surveys between faculty or students to collect input on preferred features and Dropbox site locations.
Regular Meetings: By frequently scheduling meetings with the administration of campuses to keep them up to date and tackle any concerns about budget and logistics.
Workshops: Needs to effectively organize the workshops for maintenance and IT teams to discuss operational protocols and technical requirements.

Assigning the right individual to work on the task needed to finish the Project Project is characterized as resource allocation. It is the procedure for scheduling and assigning the available resources in the most economical and effective possible ways (Singh and Bhatia, 2022). The Project is also known as the scheduling of resources, which is the distribution and sourcing of materials and funds for business. The organization spends money on supplies and services to complete the several Project Projects and their tasks.

Initial Setup Costs: The estimated costs for acquiring the Dropbox site, installation, and other required modifications in infrastructure.

Promotion and marketing: The budget for promotional materials to increase awareness between faculty and students about new Amazon Dropbox sites.

Project Manager: They supervise the Project and ensure that objectives are met and stakeholders are effectively engaged.
Technical Team: This comprises IT personnel accountable for the technical phase of integration and setup.

Dropbox Units: Needs to recognize the important number and Dropbox unit types based on estimated user traffic.

Risk Analysis
The risks are related to uncertainty, where either the output of an event or the event itself cannot be forecasted. The uncertainties in the Project developed from the estimate, estimate basis, logistics and design, the relationship among project parties, and objectives and priorities (Zaku and Uysal, 2022). A thorough risk analysis is a procedure for identifying potential risk challenges and the progress of strategies to mitigate them. This analysis ensures proactive actions are in place to effectively address the risks that arise during the project development lifecycle.

Technical Failures: It can develop due to issues with Dropbox sites or a combination with campus systems.
Low Usage: The inadequate engagement of students leads to the underutilization of Dropbox sites.

The evaluation of every risk's impact and likelihood categorizes them as medium, high, or low. For example, technical failures in a Project can lead to a high impact but a medium likelihood, while less use can develop a medium impact but a high likelihood.

Technical Training: By providing effective training for IT support staff to address the technical issues rapidly.
Engagement Campaigns: By effectively implementing the promotional strategies of Dropbox by using social media platforms to encourage student usage and make known them with Amazon Dropbox sites.

Regular Schedule of Maintenance: Establish a practice for servicing and checking the Dropbox units to ensure they remain prepared.

This report concludes the effective establishment of Dropbox sites on both campuses develops an opportunity for improving the opportunity engagement and streamlining resource sharing between the student bodies. By methodically connecting stakeholders, deliberately allocating resources, and carrying out an inclusive risk analysis, the Project is situated for success. The stakeholder involvement plan ensures users' preferences and needs guide implementation, fostering the ownership sense and improving the likelihood of high utilization rates. The strategies of resource allocation prioritize the effective personnel and budgeting assignment to maintain the project momentum and facilitate faultless execution. The risk management proactive approach will reduce the potential challenges and permit the project team to effectively address the issue as they develop, thereby reducing the disruption and maximizing the effectiveness of the Project. In conclusion, this Project not only effectively aligns with the campus goals for improving collaboration and innovation but also helps improve the entire campus experience. With the support of stakeholders and an effective project management plan, the Dropbox site becomes an important resource for the student, contributing to an engaged and vibrant community campus.
